How Collin College Streamlined Dual Enrollment Scheduling and Boosted Efficiency

Overview
With more than 12,000 dual credit students representing 28% of its credit enrollment, Collin College needed a better way to manage complexity and meet the rising demand for high school partnerships. By centralizing its scheduling process and leveraging Ad Astra's tools, Collin created a data-informed, student-centered schedule that improved efficiency, reduced staffing delays, and laid the foundation for long-term operational gains.
The Challenge:
Collin College’s dual enrollment program had grown rapidly, with partnerships across 20 school districts and ongoing expansion—including the recent opening of two new high schools in one ISD alone. Yet scheduling remained decentralized and siloed across campuses and divisions, leading to:
- Inefficient use of resources
- Last-minute dual credit staffing
- Gaps in schedule availability
- Roadblocks to equitable student access
Vice President of Academic Operations Craig Leverette was tasked with addressing these issues by creating a centralized scheduling model that aligned with Texas' performance-based funding and the college’s vision for a student-centric schedule.

The Solution
To meet this challenge, Collin College launched a new districtwide scheduling department, staffed with a dedicated dean and six coordinators focused on specific disciplines. The team partnered with Ad Astra to implement integrated planning and scheduling tools that could support scale, speed, and alignment.

- Centralized Scheduling Team: A new cross-functional department solely responsible for academic scheduling across the district.

- Faculty Collaboration: Regular “engagement meetings” with Deans to review data-informed schedule recommendations while preserving faculty input and academic judgment.
- Dual Credit Alignment: Earlier deadlines for ISDs and staffing processes to ensure instructional readiness before registration.
The Results
Collin College saw measurable improvements in scheduling efficiency after adopting Ad Astra’s platform:
- Increased overall staffing at the time of registration to 74%.
- 3x increase in staffing efficiency with a major ISD partner — reaching 76% coverage by April instead of August.
- 100% alignment with textbook affordability deadlines, enabling smoother integration with First Day Access and fewer last-minute changes.
- 20 ISD partners supported through consistent scheduling timelines that reduced delays and improved collaboration.
