The Challenge

A strategic scheduling process is the cornerstone of a strong schedule, one built on reliable data and consistent processes. Despite having a history of using Ad Astra products to support academic scheduling, many at Prairie View A&M University (Prairie View), Prairie View, Texas, were reluctant to trust and use its data for room assignments. This left the institution locked in a legacy system of inequitable distribution of classroom space that did not support students or faculty.
Strategic scheduling allows students to achieve their academic goals and successfully graduate. By visualizing their academic journey, students can map out the necessary steps to stay on track and ensure timely completion of their degree.

The Solution
Work collaboratively to construct data-informed, student-centered schedules
University leaders, Tina Montgomery, Registrar, and John Gardner, AVP for Student Success, understood strategic scheduling fueled by data insights was critical to support student progress and retention. By using data to identify when, how, and where courses should be scheduled, Prairie View could optimize space utilization and offer classes that matched student demand.
“Ad Astra offered the university a more equitable way to distribute classroom space and support faculty when they have back-to-back classes,” Gardner said. “There is often some level of resistance, but we’ve evolved to see the usefulness of the tool in helping with space management across campus.”
In addition to strategic data-driven scheduling, Prairie View also supports its students through a variety of programs, including PV CARES. Through the PV CARES model, every undergraduate student will be assigned an academic advisor, career coach, and financial counselor. Students will engage in a four-year theme-based curriculum that will foster advanced degree admissions or job placement upon graduation.
“Strategic scheduling assisted by incremental change is helping Prairie View move things in the right direction,” Montgomery concluded.
Strategic scheduling is so important; it’s the cornerstone to the reason we do what we do in order to get students successfully to their goal of graduating.

School Background
Prairie View A&M University, Prairie View, Texas, was founded in 1876. It is a public historically Black land-grant university (HBCU) and is the second-oldest public institution of higher learning in the state. Prairie View is a member of the Texas A&M University system with a focus on research, service, and teaching. Today, the university serves many first-generation students, including African American, Hispanic, and Pell-eligible students. Prairie View is only one of 11 HBCUs to be granted R2 Carnegie status. The university is accredited by the Southern Association of Colleges and Schools Commission on Colleges.
