Improving scheduling efficiency to boost student progress
The Challenge
Increase and stabilize enrollment
Dutchess Community College (DCC), Poughkeepsie, New York, has a Wildly Important Goal to increase headcount in credit-bearing coursework (excluding high school-concurrent programs) to 5,000+ students by 2028. The college, which is part of the State University of New York System (SUNY), is seeing more adult learners returning to complete a degree or start a program. Addressing continuing changes in who the institution serves necessitated taking a closer look at current issues of under- and over-enrollment.
The desire to improve enrollment ratios and reduce the number of cancellations taking place 1-2 weeks before the start of the semester prompted Danielle Williams-Bell, Director of Scheduling at DCC, to expand the institution’s use of Ad Astra. Implementation of Ad Astra Essential Scheduling would allow DCC to take a closer look at the available data, including DFW rates and the over- or under-enrollment of particular pathways in addition to improving collaboration among program chairs to create better pathways and a reduction in cancelled classes.
The Solution
Employ Ad Astra tools to drive data-informed, collaborative course planning and student support
In Spring 2025, 50% of DCC department chairs began a pilot of Ad Astra Essential Scheduling, looking closely at enrollment ratios, pathways, and DFW rates with a goal to fully implement the program for Fall 26. Through its use, the college was able to reduce the number of cancelled classes from 120-140 classes to just 10-15 classes.
The use of Ad Astra Registration Monitoring is also helping DCC plan to determine where classes better fit into the pathways. Promising outcomes in the pathways work has the college looking at program modifications with an increasing emphasis on collaboration among program chairs as more users log into the system. Williams-Bell anticipates improved communication and collaboration will also help further reduce class conflicts.
More users in the system also translate into heightened awareness of where students might be struggling by looking at DFW rates and healthy versus toxic course combinations. This attention allows the institution to proactively identify specific sections and courses where students could benefit from focused support through tutoring or writing assistance.
Prior to the beginning of a new semester, students receive text messages regarding the available support services. Blanket messaging to students could also help debunk stereotypes and reduce stigma related to using these support services. As a result, DCC has seen an influx in the number of students seeking assistance from the Student Support, Writing and Math & Science Centers. Added awareness of available services can also provide focused support for first-generation college students, Williams-Bell said.
“Through collaboration and increased use of Ad Astra tools, we can not only give our students a schedule they’re comfortable with, but a schedule where the course materials are offered in a way that is more likely to lead them to success,” Williams-Bell said.

The Results
By using Ad Astra data to align courses more effectively within program pathways, Dutchess Community College dramatically reduced late schedule disruptions, achieving a 90% decrease in cancelled classes. The platform also strengthened collaboration among department chairs and increased visibility into course performance and student outcomes. With clearer insight into DFW rates and course combinations, the college can proactively identify where students may need additional academic support—helping connect more learners with tutoring and support services while building schedules designed to improve student success.
